FAQs:
You Asked, We Answered
Multi‑State Registration
Do you support multi‑state payroll?
Yes. If you have employees working in more than one state (or you’re expanding into a new state), we’ll get you set up so your payroll taxes and filings line up with each state’s rules — without you having to become a multi‑state payroll expert.
Can ConnectPay handle state payroll tax registrations for me?
In most cases, yes. We can manage your state withholding and state unemployment registrations end‑to‑end where applicable. If a state requires an owner/officer signature, ID verification, or access to an existing agency login, we’ll tell you exactly what’s needed and keep everything moving.
What happens after the state accounts are set up?
Once the state assigns your account numbers, tax rates, and deposit schedules, we configure payroll so calculations, filings, and payments are set up correctly going forward — clean, documented, and compliance‑ready.
How long does multi‑state setup take?
Timelines vary by state and agency processing times. Share the state(s) and your employee start date, and we’ll map the fastest compliant path and a realistic go‑live plan.
Switching to ConnectPay (Timeline + What to Expect)
How long does it take to switch payroll providers?
Most switches are completed in about 2-3 weeks, depending on your payroll complexity and how quickly we receive accurate YTD payroll data. In many cases, we can be ready in as little as ~10 business days once paperwork is submitted, security checks are complete, and your setup is confirmed.
When is the best time to switch?
Quarter start is often the cleanest from a reporting standpoint, and the beginning of a month is also a natural time to make the switch. That said, switching mid-quarter or midyear is absolutely doable — we’ll use your year-to-date (YTD) totals to keep filings and year-end forms accurate.
What documentation do I need to provide?
Federal Proof of ID: This typically includes your Employer Identification Number (EIN) confirmation from the IRS.
Bank Verification: Documentation confirming your business bank account details (such as a voided check or official bank letter) for payroll processing and tax payments.
What do you need from my current provider?
To switch payroll providers cleanly (and keep your taxes and year‑to‑date totals accurate), we’ll need employee information (identity/contact details, pay details, tax withholding elections, and — if applicable — direct deposit, deductions, and garnishments), plus your most recent payroll reports, year‑to‑date (YTD) wage/tax/deduction summaries, and any quarterly filings already submitted. If you don’t have easy access to those reports, we can help you pull the right exports from your current provider — and we’ll guide you on secure ways to share sensitive files with limited access on our side.
Tax Notices (POA + 24‑Hour Response + Faster Resolution)
What if my business receives a payroll tax notice?
Send it to us as soon as you receive it. We’ll review it, translate what the agency is asking for, and put a clear resolution plan in motion — no guessing, no bouncing between departments.
Do you contact the IRS or state agency for me?
Yes. We have clients sign a Power of Attorney (POA) so we can reach out to agencies (including the IRS) on your behalf to gather details, clarify the issue, and drive the notice to resolution.
How fast do you respond?
We respond within 24 business hours of receiving your notice. If we need anything from you to proceed (signature, prior reports, account info), we’ll ask quickly and clearly — so the clock doesn’t keep running.
How long does it take to resolve a notice?
Most routine payroll tax notices are typically resolved within about a week once we have a copy of the notice — assuming the agency responds within its normal processing timelines.
How does that compare to the “industry average”?
Timelines vary by agency and notice type, but many businesses experience multi‑week resolution cycles due to back‑and‑forth, mail/processing delays, and unclear ownership. Our goal is to shorten that window with fast triage, POA‑enabled outreach, and a documented process.
Working with CPAs & Bookkeepers
Do you work directly with my CPA or bookkeeper?
Yes. With your permission, we’ll coordinate directly with your CPA/bookkeeper so payroll stays aligned with accounting, reconciliations, and tax reporting — especially at quarter‑end and year‑end.
Can my CPA/bookkeeper access all their clients in one place?
Yes. CPAs and bookkeepers can access all of their ConnectPay clients from a single dashboard — built for efficiency, visibility, and fewer “can you resend that report?” emails.
Is access permission‑based?
Yes. Client access is permission‑based and controlled by the client, so the right people see the right accounts and reports.
Michigan Payroll (What MI Employers Should Know)
What Michigan specific payroll items should employers plan for?
Michigan employers generally need to manage state income tax withholding, unemployment insurance, and new-hire reporting. In some cases, local taxes may also apply depending on the city where employees work, which can add another layer to payroll setup.
Do you support Michigan local tax considerations?
Yes. We help employers stay organized when local withholding or city tax requirements come into play, so payroll is set up correctly for the employee’s work location.
What typically trips up MI employers?
The most common issues we see are missing local tax requirements, incorrect state withholding, and overlooking new-hire reporting. We help keep the state and local payroll details clean, documented, and on schedule.
