Switching to ConnectPay (Timeline + What to Expect)
How long does it take to switch payroll providers?
Most switches are completed in about 2-3 weeks, depending on your payroll complexity and how quickly we receive accurate YTD payroll data. In many cases, we can be ready in as little as ~10 business days once paperwork is submitted, security checks are complete, and your setup is confirmed.
When is the best time to switch?
Quarter start is often the cleanest from a reporting standpoint, and the beginning of a month is also a natural time to make the switch. That said, switching mid-quarter or midyear is absolutely doable — we’ll use your year-to-date (YTD) totals to keep filings and year-end forms accurate.
What documentation do I need to provide?
Federal Proof of ID: This typically includes your Employer Identification Number (EIN) confirmation from the IRS.
Bank Verification: Documentation confirming your business bank account details (such as a voided check or official bank letter) for payroll processing and tax payments.
What do you need from my current provider?
To switch payroll providers cleanly (and keep your taxes and year‑to‑date totals accurate), we’ll need employee information (identity/contact details, pay details, tax withholding elections, and — if applicable — direct deposit, deductions, and garnishments), plus your most recent payroll reports, year‑to‑date (YTD) wage/tax/deduction summaries, and any quarterly filings already submitted. If you don’t have easy access to those reports, we can help you pull the right exports from your current provider — and we’ll guide you on secure ways to share sensitive files with limited access on our side.
Tax Notices (POA + 24‑Hour Response + Faster Resolution)
What if my business receives a payroll tax notice?
Send it to us as soon as you receive it. We’ll review it, translate what the agency is asking for, and put a clear resolution plan in motion — no guessing, no bouncing between departments.
Do you contact the IRS or state agency for me?
Yes. We have clients sign a Power of Attorney (POA) so we can reach out to agencies (including the IRS) on your behalf to gather details, clarify the issue, and drive the notice to resolution.
How fast do you respond?
